• Financial data: processed through secure third party payment gateways for deposits and balances.

02. Passport and Legal Documentation

Due to the regulated nature of trekking in the Rwenzori Mountains, we are required to collect copies of your passport. This information is used exclusively for:

• Securing trekking permits from the Uganda Wildlife Authority.
• Processing mandatory mountain insurance coverage.
• Verifying identity at national park gates and security checkpoints.

We treat these documents with the highest level of confidentiality and delete digital copies once the legal processing of your trek is complete.

03. How We Use Your Data

We use your personal data only for the following legitimate business purposes:

• Logistics coordination: providing your name to hotel partners and mountain hut managers.
• Safety management: ensuring our guides are aware of any medical requirements or allergies.
• Communication: sending itineraries, packing lists, and pre-departure updates.
• Marketing: only with your explicit consent, we may send occasional updates about new trails or seasonal offers.

04. Data Security Standards

We have implemented appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way.

Digital data is stored on encrypted servers, and physical documents are kept in secure, restricted-access locations within our Kasese office. We limit access to your data only to those employees and partners who have a business “need to know.”

05. Third Party Disclosure

We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties for marketing purposes. We share your data only with trusted third parties involved in your tour logistics:

• The Uganda Wildlife Authority (UWA) for permit issuance.
• Emergency medical services and evacuation teams in the event of an accident.
• Accommodation partners and specialized gear rental services.

These parties are contractually obligated to keep your information confidential and secure.
