By booking a trek or safari with Rwenzori Hantravel Safaris, you acknowledge that you have read, understood, and agreed to be bound by the terms and conditions outlined below. These policies ensure a safe and professional experience for both our guests and our local mountain teams.

01. Booking and Deposits

To secure your expedition dates, a non-refundable deposit of 30% of the total tour cost is required at the time of booking. This deposit allows us to secure park permits, mountain huts, and specialized gear necessary for your ascent.

A booking is only considered confirmed once the deposit has been received and a confirmation receipt has been issued by our office.

02. Final Payments

The remaining balance of the tour cost must be paid no later than 30 days prior to the start date of your expedition. For bookings made less than 30 days before departure, full payment is required at the time of confirmation.

Failure to complete final payments by the due date may result in the cancellation of your booking without a refund of the initial deposit.

03. Cancellation Policy

We understand that travel plans can change. However, due to the high logistical costs of mountain operations, the following cancellation fees apply:

  • Cancellations more than 60 days before departure: 100% of the balance is refunded (deposit remains non-refundable).
  • Cancellations 30 to 60 days before departure: 50% of the total tour cost is charged.
  • Cancellations less than 30 days before departure: 100% of the total tour cost is charged.

If the park is closed by the Uganda Wildlife Authority due to safety concerns or political force majeure, we will offer a full credit toward a future trek valid for 24 months.

04. Liability and Inherent Risk

Trekking in the Rwenzori Mountains involves inherent risks: including altitude sickness, unpredictable weather, rugged terrain, and physical exhaustion.

Rwenzori Hantravel Safaris and its guides are committed to the highest safety standards, but we cannot be held liable for personal injury, illness, or loss of property during the tour. You agree to assume all risks associated with mountain travel.

05. Mandatory Travel Insurance

Every traveler booking an expedition above 3,000 meters must have comprehensive travel insurance. Your policy must specifically cover:

  • Emergency medical evacuation (including helicopter rescue).
  • High-altitude trekking (up to 5,109m if summitting).
  • Trip cancellation and curtailment.

You will be required to provide proof of insurance to our team before the trek commences.

06. Authority on the Mountain

The decision of the lead guide is final on all matters likely to endanger the safety of the group or individual. This includes decisions to turn back due to weather, health, or terrain conditions.

Clients must strictly adhere to our “Leave No Trace” environmental policy to protect the glacial ecosystem. Any client found intentionally damaging the environment or disrespecting the local community may be removed from the trek without a refund.
